Kirana & grocery: how the screens work

What each kirana & grocery screen in Finocket is for, part by part. Each part opens only where it is switched on for your workspace.

Kirana & grocery is the counter, the stock and the udhaar book for a shop that sells packets and loose goods. This guide follows the order a new shop uses them in, then says what is not built or switched off. The bold words are labels you will see on the screens.

Your first ten minutes

The counter sits in the Retail till & shops module. Check it under Modules & features before you open the till. If the module is switched off, the till page shows a gate in place of the till and takes no sales.

  • Add your products with New item. Once the kirana setup is applied, each item can carry its MRP, Brand, Packing and Net quantity.
  • Before the first sale, tap Open register and enter the Opening cash float. Without an open register, cash sales are not reconciled.
  • Add the person at the counter under Your team before they start, so they work from their own login.

The daily loop at the counter

Each sale is rung up on Point of sale. Scan the packet with Scan / type barcode or SKU (F2), or type its barcode or SKU. The line lands on the bill with its price and GST, and the sale becomes an invoice, a stock move and a ledger entry.

  • The till has Cash and UPI buttons. To take Card, a Voucher, Points or Udhaar, tap Split (F4) and add each as a part, even if it is the only part. A sale is booked only when the parts add up to the bill. Points and vouchers are refused while the till is offline or has sales waiting to be sent.
  • Park this bill, or recall one sets a cart aside for the next customer. Nothing is invoiced until the parked bill is recalled and paid.
  • If the connection drops, Cash, Card and UPI sales still go through. They are taken as counter-sale slips, not tax invoices, and the bill is raised with its number once the till is back online.
  • The register cannot be closed while sales are waiting to be sent or are held.
  • Udhaar puts a sale on a named customer's khata. It never goes on a walk-in customer, so name the customer first.

Money at the end of the day

The Z-report shows what the till took in the session: How the till was paid by tender, the day's bills and returns, and The drawer, which says what should be in it.

  • Count the cash, enter it under Counted cash in drawer and tap Close register. The screen says whether the drawer is balanced, over or short.
  • Cash that left the drawer, such as a refund or a drop to the safe, has to be entered when you close the register. If it is not, it reads as a shortage.
  • A sale the till could not send after several tries moves to Held sales. Send again sends it once the cause is fixed. Write off drops it without recording the sale, so the Z-report is short by that amount.

Stock on the shelf

Inventory shows Stock on hand and Stock value. The Low on stock card counts items at or below their reorder level, and Reorder soon lists them. A sale on the till takes stock out, and a purchase you receive puts it in.

  • Receive purchase on the inventory screen records a supplier's delivery into stock, with batch, expiry and MRP, and no purchase order. The button needs the pharmacy retail pack switched on and a role that may change stock; if it does not appear, ask Finocket support.
  • The inventory screen shows an Expiring soon card when a batch with stock left has an expiry date within 90 days, or has already passed. It lists those batches. With no such batch the card is absent.
  • The low-stock list works from the reorder level set on each product. Its draft purchase orders are for you to review first; nothing goes to a supplier until you send it.
  • Count records a physical count of the shelf.

Items: packing, net quantity, MRP and brand

The kirana setup adds MRP, Brand, Packing and Net quantity to the item form, and a Home delivery tick to the bill.

  • Packing says how the item comes: Loose, Pre-packed & labelled, or Bulk (over 25 kg / 25 l). It is a label for you and your accountant. It does not set the GST rate, which stays the one set on the item.
  • Net quantity is what the label declares, such as 1 kg or 500 ml, so two sizes of the same atta are not mixed up.
  • Once the kirana setup is applied, an item can carry a second unit and a conversion factor. A till line then offers Sell loose: you enter a whole count of the second unit, for example 250 g of a 1 kg item. A count that is not a whole number, or does not convert exactly, is refused. This needs the retail counter pack or the pharmacy retail pack; if the till does not offer it, ask Finocket support.
  • Weighing-scale labels (a prefix, the item code, then the weight in grams or the price) are read at the till once the shop's scale-label format is saved in its counter setup. Until then they are not read. This needs the retail counter pack; if the till does not read them, ask Finocket support.

Customers, khata and home delivery

Sales start with Walk-in customer. Tap Add customer to name a regular, who can then take a sale on Udhaar.

Once the kirana setup is applied, tick Home delivery on a bill that goes out with your delivery boy. The tick stays on the invoice, so you can see later which bills left the shop.

Outstanding lists unpaid invoices by client. Tap the WhatsApp icon on a row to open WhatsApp with a reminder already written; you tap send.

Khata lists what each named customer owes from unpaid bills, with Settle on each row, and Remind on rows with a balance for roles that may send reminders. It needs the retail counter pack switched on; if the Khata screen is not offered, ask Finocket support.

Counter staff

Give the person at the counter the Cashier role, set under Your team. A cashier can ring a sale, take a return, park a bill and look a customer up. They cannot see what you paid for an item, the stock value, purchasing, or the reports, banking, GST and TDS. Choose their shop when you apply the role.

What is not built, and who to ask

Ask your CA about the GST rate on each item, whether a pre-packed item is taxable, and your returns. Ask your administrator to switch on a module. Packs are switched on by Finocket support. This guide gives no tax advice.

These are not built, or are switched off until your workspace has them:

  • Scanning with the phone camera is not built. Use a USB or Bluetooth scanner that types the code like a keyboard.
  • Selling loose needs the second unit set on the item and the retail counter pack or the pharmacy retail pack; if the till does not offer it, ask Finocket support.
  • Reading scale labels needs a saved scale-label format for the shop and the retail counter pack; if the till does not read them, ask Finocket support.
  • Khata needs the retail counter pack switched on for your workspace.
  • The till needs the Retail till & shops module switched on.
